Bounce_Word 0 15 40 9 But the two programs can't talk to each other. So you have to take out the scissors, cut out one piece of paper, paste it on another, and then photocopy that mess. New_Labels 0 15 40 9 Also, you may discover that to do the same kind of action--entering a few numbers, for instance--takes a different command in each program. That can get annoying and confusing. Replace_Labels 0 15 40 9 But now there's a SOLUTION! With AppleWorks you can move information back and forth, from a spreadsheet to a word processor document, for instance. Float_Word Same_Labels 0 16 40 8 You get all three applications in one program. So the same command does the same thing, no matter what you're working on. You put that part of the budget in an area we call the clipboard. 0 16 40 8 The clipboard is really just a special place in the computer's memory, but it acts like a real clipboard. Because it's electronic, you can add information, switch it around, sort it, select from it, and save it much faster than you could with paper and pen. 8 5 69 8 Let's say you're working in a bakery called Mom's Apple Pie Company. The business has been expanding so rapidly that top management--Mom--is applying for a bank loan to build a new plant. The building will be in the shape of a pie. 8 5 69 9 But the loan officer wants a list of customers, to check their credit. You have that information on a file called "Customers" on a disk. AppleWorks calls it a data disk. Here's how to get the file onto your Desktop. MainMenu 8 12 64 11 You start on the Main Menu. Because you want to bring a file from the disk onto your electronic Desktop, you select the option "Add files to the Desktop." Since that's already highlighted, all you have to do is Press RETURN. AddMenu 9 12 62 11 You get another menu, called Add Files. Because your file is already on the disk, you'll choose to get it from "The current disk." That's already highlighted, so all you have to do is Press RETURN. Addfiles 6 0 68 5 AppleWorks shows you a list of the AppleWorks files on the disk. Menuon 8 15 62 8 You can pick a file by using the UP or DOWN ARROW keys. They move the highlighting. To pick the Customers file, Press the DOWN ARROW key twice, to reach Customers. NOUPDATE 9 0 62 7 You've got it! Once you've highlighted the file you want, all you do is Press RETURN. Getfiles 9 10 62 7 And just like that, AppleWorks puts a copy of the file on your Desktop. We'll take a moment to introduce you to the parts of a data base. FLASHLAB 8 10 64 9 Information in a data base file is organized in categories. "Address" and "Phone" are categories in the Customers file. The label at the top of each column tells you what the category is. FLASHREC 8 12 64 6 All the information about one restaurant is known as a record. Here's the record on Fin and Fur. FLASHENT 8 16 64 6 The credit rating for Fin and Fur is one entry. In any record, the information in one category is an entry. 8 10 64 8 For instance, can you spot the credit rating for Abe's BBQ? That's another entry the bank officer will be interested in. Type the credit rating for Abe's BBQ. B 4 15 70 8 Yes. That's one entry. Here, you're looking at AppleWorks' "multiple-record" layout. That means you can see a number of records all at once. 2 14 74 10 That's helpful for getting the big picture. But sometimes you want to Zzzzoom in on one particular restaurant. For instance, you might wonder what bank Abe's checks are drawn on. To find out, you make sure your cursor's on the row you want to know more about (it is), then Hold down OPEN APPLE and press Z for Zoom. Z Zoomin 28 9 51 13 Right! The OPEN APPLE-Z combination zooms you into the "single-record" layout for Abe's BBQ. You can now see the Bank category-- it was hidden before. In fact, this layout shows you everything you've entered about the restaurant, including information that wouldn't fit on the screen in multiple-record layout. 28 12 49 12 Now that you've found out that you and Abe bank at the same place (that should encourage the loan officer), you can zoom back up to the multiple-record layout. Hold down OPEN APPLE and press Z for Zoom. Z Moderac 25 18 46 6 You did it! You can now compare Abe's BBQ with the other restaurants again. 25 14 46 10 You've brought a data base file onto your Desktop, learned some of its parts, zoomed in and out. Arranging, Moving, and Updating Your bank wants your list of customers in order of credit rating. But you have them organized alphabetically within each delivery route. To get there, Press TAB 3 times to move to the Credit category. 17 10 49 9 Now you're in the category you care about-- Credit. To arrange the records a new way, Hold down OPEN APPLE and press A (for Arrange). A ModeArrange 4 0 66 9 You see some choices about the way you might want to rearrange your records. You want them alphabetical by credit rating. The A to Z choice is already highlighted, so Press RETURN, to arrange from A to Z. ModeRAC 0 14 33 10 Presto! The records are now arranged from A credit rating to C. You've rearranged the data base. But now you notice a mistake! 0 14 68 10 You've misspelled the name of Blatt's Eats, down in the seventh record, and you want to fix it before the bank sees the error. Press the DOWN ARROW to get to the record for "Blat's". 0 15 78 9 Good. The DOWN ARROW drops you down a line, and TAB moves you forward to the next entry in a record. To move backward to the previous entry, so you can reach the misspelling, Hold down OPEN APPLE, and press TAB to jump back to "Blat's". 9 15 62 9 Now you're at the very beginning of the entry, but you want to be under the "t" so you can make the correction. The right and left arrow keys will help. Use the RIGHT ARROW to move the cursor under the "t". 14 14 52 5 Excellent. You've moved to the right position. UpdateFile 9 1 52 8 To correct the spelling of Mr. Blatt's name, you just need to insert a "t". Here's how. Type t t NOUPDATE 0 17 75 7 Blat's becomes Blatt's. Notice that the cursor and the original "t" have moved over to the right, to make room. You inserted a "t." That's why we call this blinking underline the insert cursor. UpdateFile 0 15 72 9 To add the rest of the restaurant name, "Eats," you need to move over to the right. The arrow keys let you move over letters without disturbing them, so Press the RIGHT ARROW key 3 times. 24 16 50 8 Now to leave a space between words, press the SPACE bar. Then type Eats Eats 7 1 56 10 BY THE WAY Whenever you finish typing a Data Base entry, AppleWorks expects you to press RETURN to show that you're satisfied with what you've put in, and want to move on to something else. 8 0 64 11 Good! You've made sure that record is accurate. But now you notice that the Eatarama address isn't quite right, either. Eatarama has moved from 789 San Pablo to 333 San Pablo. To get to that entry, Press TAB once, to jump to the next category. NOUPDATE 8 1 64 10 You're now on the 7. If you inserted something here, the 7 would move over. But you want to replace it. To change the cursor so it will replace a character, Hold down OPEN APPLE, and press E (for Edit) E MODEEDIT 10 1 60 12 The cursor changes from a blinking underline to a solid rectangle. The OPEN APPLE-E acts as a switch, changing the cursor back and forth. The solid rectangle means that whatever you type will replace the character that the cursor is on. Type 333, to replace 789 333 ActualProgram 23 1 34 5 You've replaced 789 with 333. MODEEDIT 0 0 68 11 That was easy enough, but as you look down your list, you notice that there's still something wrong--the street name should be San Pablo, not San Pabloo. Here's how to delete that extra "o". Use the RIGHT ARROW to move to the space just after Pabloo. ModeDelete 4 1 70 11 Good! You've ended up just to the right of the offending "o." Now all you have to do to wipe out that "o" is use your DELETE key. The DELETE key eats up the character on its left. Press the DELETE key once. Then press RETURN. ¥ UpdateFile 7 0 66 13 Now you see there's something else you want to delete--a deadbeat bar that you've finally dropped as a customer. It's the Happy Hours, run by the twins you know as Panic and Paul. They're an embarassment to your list. So here's how to wipe them off: Use the DOWN ARROW to move to the Happy Hours record. Modedelete 6 1 68 7 Now, to delete a record--not just a few characters-- Hold down OPEN APPLE, and press D for Delete. D 5 1 70 8 You've lit up the whole Happy Hours record. The bar's brighter than it's been in years. To show you really mean to delete the whole record, Press RETURN. Onelessrecord AFTERLOAD 7 10 66 10 You've deleted those unhappy memories. The bank will never know you had such a terrible customer. Congratulations! Your credit list is now in shape for the bank. You've learned to arrange, insert, replace, and delete information in your data base file. Clearscreen 5 8 70 9 In the next lesson, you'll see how you can set up a new data base. Creating a New Data Base The bank was particularly interested in your new Organic Pie line, and asked for some details on those sales. You realize that you need to create a new data base for this information. In this lesson, we'll show you how. MainMenu 0 16 71 8 You start at the Main Menu. You're going to add a brand new file to the Desktop, and that option is already highlighted, so Press RETURN. AddMenu 45 0 35 11 And since you're creating a new file on the Data Base, you choose to "Make a new file for the...Data Base." Here's how: Type 4, and press RETURN. 4 ShowCreateMenu 45 0 35 8 You're making this file up, so you have to do it "from scratch." Press RETURN. Newfile 45 1 35 11 AppleWorks wants to know what to call this file. Let's call it "Organic Pies." Type Organic Pies and press RETURN. organic pies InputCategories 32 7 45 10 Now you get to decide what categories you're going to include. AppleWorks suggests "Category 1" as the name of your first category, but you can be more descriptive than that. 32 7 45 10 To replace "Category 1" you need to change the cursor so it replaces--rather than inserts--characters. Hold down OPEN APPLE and press E for Edit. E showexchange userchange 10 16 60 8 OK! Now you can replace "Category 1" with a name that describes what this category will contain. Type PIE NAME. PIE NAME 10 15 56 9 Great! Now to get rid of that leftover number 1 Press SPACE bar twice And press RETURN. 22 15 44 9 You need another category, to record the number of pies sold, so Type PIES SOLD And press RETURN. PIES SOLD 17 18 46 6 Great! Now press RETURN and we'll type the other category names for you. TypeName 18 16 44 8 When you finish creating the categories, here's how to show you're through. Press ESC. ShowInfomenu 0 0 70 8 AppleWorks tells you that there's nothing in any of those records, and wonders if you want to enter something. You do, so Press the SPACE bar to go on. Allowdataentry 20 15 52 8 Now you get to type in the information for your first record, about the famous Yogurt Yummy. Type YOGURT YUMMY and press RETURN. YOGURT YUMMY 20 14 52 10 Great! You've got your first entry. The next category is Pies Sold. You sold 1250 Yogurt Yummy pies so far, so Type 1250 and press RETURN. 1250 0 0 66 5 Right on target! We'll finish typing in that record for you. TypeData 22 11 52 10 There! The first record is complete. To signal AppleWorks that you don't want to go back and make changes in the record, Press RETURN. Entry2 22 11 52 12 AppleWorks figures you'll want to prepare another record, so it offers another "blank" for you to fill in. To signal the program that you've finished entering records, Press ESC. ShowRacHeader ShowExchange 9 15 62 9 You see your latest record in single-record layout. You may want to see what it looks like in multiple-record layout. That means zooming out. Hold down OPEN APPLE and press Z for Zoom. Z OneNewRecord 9 13 64 7 That looks good, so you can enter the rest of the records. Instead of typing those in, let us do it for you. You can add new text, delete old words, move phrases around, change the margins, throw in a headline or two, and print. In this lesson, we'll explore some of the basics of the Word Processor. MainMenu 8 12 64 10 You're working in the finest bakery in town--Mom's Apple Pie Company--and you're applying for a bank loan to finance a new plant. Right now, you need to write a letter to the loan officer at your bank. Here's how to start from scratch. 8 13 64 9 Since you haven't written this letter yet, it's not on your Desktop. You're going to be adding it to the Desktop, so you want the first option. It's already highlighted. Select the option "Add files to the Desktop". AddMenu 0 16 74 8 You're going to be making a new file. And you're going to be using the Word Processor for your letter. To choose that option, Use DOWN ARROW to highlight Word Processor; then press RETURN. ĥ W_P_Menu 12 15 59 8 AppleWorks wonders if you're starting with a blank page--from scratch. You are, so Press RETURN. Get_F_Name 8 14 66 8 Each file must have a name. Notice at the bottom of the screen that AppleWorks is asking you to name this new file. Type Loan Letter, then press RETURN. LOAN LETTER Show_W_P 4 10 70 11 Suddenly, the screen changes, and you have a big blank space to write in. To begin the letter, make sure your CAPS LOCK key is up, so you won't type all capital letters. (With the real AppleWorks you could back up and make changes, but you can't on this training disk). Type Dear Ms. Fowler, Dear Ms. Fowler, 10 15 60 7 OK, that's a good beginning! Now, to start a new line, Press RETURN. 9 10 62 7 So far, AppleWorks resembles a typewriter. You type, and the characters appear. You press RETURN and you move down a line. But here's something different. Wrap_Off 9 7 64 10 You don't have to press RETURN when you reach the right margin: the words just "wrap around" by themselves. We'll do the typing for you--including a typo--so you can keep an eye on the way the words at right margin jump down to the next line, thanks to AppleWorks' "word wraparound." TypeWrap Wrap_Off 2 12 70 7 Did you see that? The words "we", "we'll", and "prospects" jumped down to the next line. That's wraparound. Oh, and yes, we misspelled "budget," too! (You'll fix it soon). Wrap_On 8 11 64 12 You use the RETURN key when you want to end a line and go to the beginning of the next one. If you press it again, you leave a blank line, and you can start typing on the next line. You're about to start a new paragraph. To put a blank line between paragraphs, Press RETURN twice. Wrap_Off 15 15 42 6 The cursor drops down two lines. We'll type the next paragraph for you. TypeWrap Wrap_Off 9 14 62 10 When you pressed RETURN twice, the cursor moved down two lines. And when we began to type the next paragraph, we didn't need to press RETURN again, because the words "profitable" and "payroll" wrapped around, along the way. 8 6 65 13 Suddenly you get a call that the meringue's getting too sticky to spread. You've got to do something quickly. You want to save what you've written--that is, put a copy on your disk--so you won't lose it if someone comes by and plays with the keys while you're away from the desk. Here's the quick way to save a document on a disk. Hold down OPEN APPLE and press S for save. S OA_Save 9 7 62 10 Presto! Your document's been stored on the disk, under the name Loan Letter. (AppleWorks leaves a copy of your document on the screen, so that you could go on working on it, if you wanted.) Now you can go check out the meringue. CLEARSCREEN 9 7 58 8 You've started a letter from scratch, and saved it on your disk. Alas, when the power went out, the computer forgot the text of your letter. Its memory went dead. 2 6 74 8 In this lesson, we'll show you how to get your file back from the disk to the Desktop, so you can edit your letter. The disk is like a phonograph record--it doesn't forget, although it can be scratched. MainMenu 3 14 74 10 After the head chef put a new fuse in, and the lights came on, you started AppleWorks again. Now you're looking at the Main Menu. Since the option to "Add files to the Desktop" is already highlighted, Press RETURN. AddMenu 45 0 35 14 Now AppleWorks wants to know where your file is. You saved yours by putting it on the disk, so choose to get a file from the "current disk." Since that option's already highlighted, all you have to do is Press RETURN. AddFiles 53 0 27 8 AppleWorks goes out to the disk, and discovers what files you have there. 53 0 27 11 AppleWorks arranges this list of files by type (Word Processor, Data Base, Spread- sheet), then alphabetically within each type. 20 0 60 9 There's the file you want: Loan Letter. You can tell AppleWorks to get that one by highlighting it. Use the DOWN ARROW to select Loan Letter, then press RETURN. ĥ Get_File Wrap_Off 22 13 36 6 And just like that, you see the file appear in front of you. 12 14 58 7 You've recovered from the lemon meringue crisis, and added a file to the Desktop. Your letter was out on the disk waiting for you to return. SEC3 7 12 66 9 3. Moving Phrases Around Now that you have your loan letter back on the Desktop, you can move around in it, and insert, replace, and delete information--without having to retype the whole letter. 8 11 60 7 As you look over the letter, you notice some mistakes, and some places you'd like to tidy up. You're going to clean up the first draft. Wrap_On 8 12 60 11 First, there's no "t" in "budget," near the end of the first paragraph. (It's our fault; we did the typing). Your cursor is on the first character in the letter. Here's how to move down to "budge." Press the DOWN arrow until you're on the line with the mistake. 0 11 75 12 Now you could move to the right, one character at a time, with the RIGHT ARROW key. But there's a faster way. You can jump whole words at a time. Here's how to leap over 7 words: Hold down the OPEN APPLE key and press the RIGHT ARROW enough times to reach the word "budge". Wrap_Off 8 14 62 8 You did it! OPEN APPLE speeds up the arrow keys, making the cursor jump a whole word at each keystroke. You're ready to make that correction now. Wrap_On 11 14 44 9 Your cursor is on the "b" in "budge." Now we need to move to the trouble spot. Press the RIGHT ARROW until the cursor is on the comma. 14 14 52 7 All you have to do to insert a letter is type. Type t t Wrap_Off 8 14 64 9 Let's say you reread the sentence, and decide it will sound better if you write "budget, and prospects." You don't want to keep the "our" in there, so you're going to replace it with "and"--the same number of characters. Wrap_On 8 10 64 9 AppleWorks allows you to replace characters instead of deleting, then inserting. But you need a different cursor, the strikeover cursor. To get the strikeover cursor, Hold down OPEN APPLE and press E (to exchange cursors). E 8 10 62 12 You've changed the cursor into a solid rectangle, so from now on, whatever you type replaces what was there before. The cursor's on the comma, but you want to leave the comma there. To skip ahead, without replacing anything: Press the RIGHT ARROW twice. 25 15 40 7 Now you can replace "our" with "and." Type and and 10 10 60 12 There. You've replaced "our" with "and" and nothing else has had to move to make room. To continue editing your letter with the Insert Cursor, all you have to do is use the OPEN APPLE-E combination, to switch the cursor back into a blinking underline. Hold down OPEN APPLE and press E. E Wrap_Off 4 13 68 10 The cursor changes into a blinking underline, which means that you can now insert text. But what if you want to erase something? For instance, consulting your notes, you see that the loan officer didn't ask for your payroll. Wrap_On 4 13 72 8 You need to delete the phrase "and our payroll" in the second paragraph. First you need to get to that line. Use the DOWN ARROW to move to the correct line. 8 13 64 9 Good! You're on the right line. Now, to jump back two words, to the beginning of the part you want to delete, you can use the OPEN APPLE-LEFT ARROW combination. Hold down OPEN APPLE and press the LEFT ARROW twice. 11 14 54 8 Good. You don't want to end a sentence with that comma, so let's get rid of it right now. Press DELETE twice. Wrap_Off 6 14 68 7 Looks odd, doesn't it? DELETE pulls the text back to fill the gap left by the deleted characters. You use DELETE any time you want to delete a character to the left of the cursor. Wrap_On 11 12 62 9 There's another way to delete that's more efficient when you have several words, or whole paragraphs. To delete the words "and our payroll," Hold down OPEN APPLE and press D D 3 13 74 10 See the little blots? Those show where you pressed RETURN. The highlighting on the "a" indicates where your deletion will start. To extend the highlighting across the whole phrase "and our payroll" Hold down OPEN APPLE and press the RIGHT ARROW key until all three words are highlighted. 3 12 72 11 Great! You've lit up what's going to be destroyed. Now that you've seen the new version of the text, let's say you decide you don't like the sound of the last sentence, either. You can go ahead and highlight a whole line at a time. Just Press DOWN ARROW once, to highlight a line. 10 14 60 8 Now all you need to delete is highlighted, and you're sure it's what you want. To complete the action, Press RETURN. 9 12 68 11 Yes! You've trimmed that second paragraph nicely. Oops! There's no period at the end of the sentence. Your cursor's a blinking underline, so you can insert a period there. Let's tidy up. Type a period: . . Wrap_Off 9 13 62 7 Well done! But what? The formula @SUM(G8...K8) tells AppleWorks to add the values in cells G8 through K8. (That's 2850+1418+1488+1563). The result of all that adding is in Cell L8. That's 7319. So whenever you want to know the formula behind a value, just look in the cell indicator. Grid_On 0 11 76 9 But now that you think about it, you expect a huge jump in sales around the December holidays. What if you sold 1500 pies that month? To find out, all you have to do is change the figure, back in Cell F8. Use LEFT ARROW to move to Cell F8. 4 10 76 11 Originally, you figured you'd sell 1350 Yogurt Yummy pies in December, bringing your quarterly total to 2850, and, carrying this trend through the next quarter, you came to a six-months total of 7319 pies. That way you can read your original while you're creating the new one. And if you don't like what you type, you can cancel it. For instance, your quarterly total leaps from 2850 to 3000, a nice round number. Your loan officer likes round numbers. In fact you're willing to replace the old with the new. So Press RETURN. SaveCarefully 7 0 66 7 When you tell AppleWorks to let the new information replace the old, it does so, while reassuring you that it is carefully saving this file. BackToMainMenu 9 17 66 7 And there you are, back at the Main Menu again. Remember, saving doesn't remove a file from your Desktop. It just makes a fresh copy on the disk. 9 6 62 16 BY THE WAY Any time you feel like saving a file on a disk, without going back to the Main Menu, you can do so by holding down OPEN APPLE and pressing S for Save. (This only saves that particular file, and it does so by overwriting the original copy on your disk). That's the quick way. AppleWorks will put a copy of your file on your Data Disk, and you'll still be looking at it on the screen, so you can get right back to work. 9 14 66 10 You've done a lot of work! Your Desktop's getting a little crowded, and you have a bunch of memos you want to bring in later. To remove some files, Use the DOWN ARROW to highlight Option 4. You've decided you don't want to bother saving the changes you made to the spreadsheet on the growth of Organic Pies. Let's remove it--and forget it. And most commands are easy to learn, because they follow the same structure: First, OPEN APPLE. Then, a letter--the first letter of the actual command.
